A. Reporting helps create a history of your club’s activities.

B. GFWC gets a record of projects club members are interested in.

C. It is vital to have a record of our collective achievements to share with affiliates.

D. Reporting creates information to help our clubs learn from each other including a way to change and expand new directions.

II. GUIDELINES AND INSTRUCTIONS FOR CLUBS

A. Form Description – Use the form titled “GFWC State Statistical Form” found in this Guidebook. 1. Only one person per club needs to complete the report form. Obtain the information from each club chairman for each project.

2. Begin by filling out the report year of 2022 or 2023. This report should include club activities from January 1 through December 31 of the reporting year.

3. Fill in the State Federation’s Name, State President’s Name, Address and Email address.

4. Areas of your club’s specific programs and projects, as listed in the 2022-2024 GFWC Club Manual.

B. Completing the State Statistical Form

1. Identify the projects and programs your club has done as a group. Use your yearbook, club minutes, scrapbook or other means to gather your club activities. Only CLUB APPROVED projects or programs can be included. These are projects and programs your club agreed or voted on to support, participate in, organize or attend as a club.

  1. Obtain the volunteer hours your members have recorded and documented throughout the reporting year. Volunteer hours are the time club members have spent preparing for, attending or participating in a club approved project or program. All other volunteer work or attending other programs can NOT be included. Be sure to include travel time to and from the event. Travel time to and from regular meetings should NOT be included.

  2. Obtain the amount of money donated by members or the club to the club approved projects or programs. Money can be in the form of cash, check or gift card by an individual or club.

  3. Gather the amount of In-Kind donations given by individuals or clubs. An In-Kind donation is an item of monetary value, new or used, which can be used by another person. It can be an item of clothing, an appliance, furniture, household goods, electronic device or food.

  4. Sort your projects into the appropriate areas, the areas which closest describes the program or project. Check the GFWC Club Manual for full description of the areas. You can NOT report the same project/program or joint project in more than one area.

  5. Identify projects involving GFWC Affiliates. A list of all approved GFWC Affiliates can be found the previous pages. You will include the Affiliates in GFWC Special Programs or GFWC Community Service Programs.

7. Put the totals in the Columns. Complete the following columns with the total amounts from the information gathered from your club and members.

a. Number of Projects is the total of all the different club projects in each division. b. Volunteer Hours are the total number of hours that all members worked on club approved programs and projects.

c. Dollars Donated are the total monetary amount your club and members donated for the programs and projects. d. In-Kind Donations reflect all monetary value of items donated to programs and projects.

e. Dollars Spent in the Advancement Areas are the costs incurred by members or the club to achieve the Advancement Area Goals. f. Dollars Raised in the Fundraising Development Section reflects the dollars earned from Fundraising and Development Programs and Projects.

8. NFWC President’s Special Projects: Dr. Susan La Flesche Picotte Memorial Hospital, Human Trafficking/Hope for Justice, and Humane Society. You will find a separate statistical sheet titled Nebraska President’s Special Projects. Each project has four columns: Number of Projects, Volunteer Hours, Dollars Donated and In-Kind Donations.

a. Identify each President’s Special Project your club has done. Fill in the total number of projects, total volunteer hours, total dollars donated and the total in- kind donations. The totals and projects will be included in the GFWC Statistical Report that Karen will send to GFWC.
b. Write a descriptive narrative of each of your President’s Special Projects.

C. Narratives

  1. Each club has the option of writing narratives, but doing so definitely helps provide necessary details about your projects.

  2. Narratives are required to be nominated for awards. Use the narrative form found in the NFWC Guidebook titled ‘NFWC Narrative Form for Club’.

  3. Narratives only need to be a short paragraph about your project telling the who, what, when, where, how and why of the project. However, if you are submitting your project for a State Award it can be one-typed page single spaced.

  4. Deadlines: Submit your report with the narratives to the NFWC First Vice President January 15 of each year. Do not send your reports directly to GFWC.

a. Email your report, including narratives to First Vice President Kathy Huggins at khuggins555@gmail.com. This makes it easier to get the reports out to the Nebraska Chairmen.
b. If you cannot email your reports, please mail your reports to Kathy Huggins at 6630 Michael Circle, Papillion, NE 68133.
c. Keep a full copy for your club’s records.

D. Club Creativity Award If you believe your club has done a creative project and would be eligible for the $50 Club Creativity Award, please send a one-typed single spaced page narrative to the First Vice President. Be sure to state what program it is under. 1. One of the two GFWC Special Programs 2. One of the five GFWC Community Service Programs

III. GUIDELINES AND INSTRUCTIONS FOR NFWC FIRST VICE PRESIDENT

A. NFWC First Vice President will sort all projects including Volunteer Hours, Dollars Donated, In- Kind Donations and Dollars Spent of each program.
B. Totals of each program along with narratives will be sent to the appropriate State Chairman by February 5 of each. year. State Chairmen please send acknowledgement of receipt by e-mail, or phone if email is not an option.
C. The NFWC First Vice President will send all totals of Projects, Volunteer Hours, Dollars Donated, In-Kind Donations and Dollars Spent to the State President.

IV. GUIDELINES AND INSTRUCTIONS FOR NFWC STATE CHAIRMEN

A. The NFWC State Chairmen are the key to state awards and international recognition. By reading the narratives of the club reports, the chairmen will select up to ten projects in their area for national awards. Chairmen must complete the State Award Entry Cover Sheet for the reporting year.

B. Entries may be no more than three (3) typed pages, single spaced (excluding cover sheet). The three pages include the following:
1. Up to two (2) typed pages single spaced describing no more than ten (10) specific projects completed by clubs that have made the most impact in a community or club. Include information that describes the “who, what, when, where, how, and why” of the project as well as pertinent statistics for that project. 

2. One (1) additional page, typed single spaced, describing the activities at the State Federation level initiated and organized by the State Federation/State Chairman. 

C. Send a copy of the report to the NFWC President by
February 26.
D. Submit the award entry to the appropriate GFWC Special Program, Community Service Program or Advancement Plan Chairman as noted on the first page of the appropriate section of the GFWC Club Manual no later than March 15, 2021 with:
1. GFWCCoversheet

2. Up to two (2) typed pages single spaced, describing no more than ten (10) club projects

3. One (1) typed page single spaced, describing State Federation activities 

E. Club Creativity Award: In accordance with the Club Creativity Award Entry, each State Federation may submit one club entry in each of the two Special Programs, one of the five Community Service Programs or one of the seven Advancement Areas for a $50 Club Creativity Award. The award is judged separately and may also be part of the ten projects listed on the State Award entry form. Judging is based on creativity. If you find that a club has a creative project and did not submit it for the Club Creativity Award, contact that club president for more information.
1. Each Chairman is allowed to send in one typed page single spaced of the most creative project by one club from your State for consideration.
2. State Chairman is responsible for completing Club Entry Cover Sheet and attaching it to the narrative.
3. Submit the award entry to the appropriate GFWC Special Program, Community Service Program or GFWC Advancement Plan Chairman as noted on the first page of the appropriate section of the Club Manual no later than
March 15, 2021.
F. State Chairmen are responsible for keeping a copy for their records.
